JOB SUMMARY: Manage all racquet sports amenity activities, events, exhibitions, tournaments, courts, bookings, lessons and professional staff.
REPORTS TO: Club Manager.
SUPERVISES: Supporting staff.
SKILLS REQUIRED
• Demonstrated knowledge and excellence in racquets
• Excellent communication skills with members in appropriate tone and manner.
• Extremely strong organizational skills.
• Proven ability to lead a team in a collegial environment.
• Proficiency in Microsoft Word, Excel, and Outlook.
• Ability to learn club specific operational apps.
DAY-TO-DAY RESPONSIBILITIES:
1) Ensure that all members and their guests receive courteous, prompt and professional attention.
2) Administer and enforce club policies and procedures both on and off court.
3) Edit all mass communications (electronic and traditional) for consistency, content and tone.
4) Oversee the flow of information that members receive via the court booking site and mass e-mails.
5) Be visibly present in the pro shop or on court during peak periods of play.
6) Maximize court usage by encouraging play and arranging games among members.
7) Ensure members ’ racquets are strung within 48 hours.
8) Ensure members are being well-served in selecting and purchasing pro shop merchandise.
9) Send out daily match reminders for club championships and member guest matches.
10) Handle all member inquiries about court/lesson fees and pro shop sales.
11) Manage pro shop staff including determining work schedules and responsibilities. Foster cooperation among pro shop staff.
12) Ensure adequate professional coverage (Mon-Fri 11am-8pm, Sat 10am-6pm & Sun 10am-4pm)
13) Ensure full coverage of the pro shop staff by managing and approving vacation and travel schedules.
14) Ensure that all lesson and court fee charges are transferred to the accounting department.
15) Ensure all pro shop equipment & supplies are stocked & well-maintained (stringing machine, stringing/ball making tools, computer hardware/software, office supplies).
OTHER COMMON RESPONSIBILITES
16) Assist members in using the online booking system.
17) Attend and participate in monthly Games Committee meetings and sub-committees for specific events.
18) Provide annual reports of club championships and member-guest entries.
19) Provide monthly reports of court use and lessons.
20) Maintain an up to date calendar of events for the current and upcoming seasons
21) Send out weekly reminders for matches that need to be scheduled & maintain accurate records of all match dates and results.
22) Ensure that all tournaments, exhibitions and in-house club events are consistently organized, administered and officiated.
23) Ensure accurate seeding of and administration of tournaments.
24) Manage the pro shop merchandise (ordering, purchasing, communicating with vendors on custom items, setting prices, controlling inventory, handling special/custom ordering for teams).
25) Ensure current events are posted and up to date on all club display boards; including all club championship and member guest draws.
26) Set-up the Summer Guest Program to ensure friendly, efficient & knowledge-based integration into the program.
27) Oversee junior clinic organization and ensure group contact lists are up to date
28) Current knowledge of current state of the games and coaching techniques
29) Help recruit, select, train, supervise, schedule, manage and evaluate the head and assistant professionals
30) Ensure that pros are up to date in their respective sports and providing excellent lessons.
31) Continue to seek ways to increase workflow efficiencies.
32) Constantly explore ways to improve all aspects of the club and member experience
33) Monitor the court bookings for completeness, accuracy, appropriateness of pro shop constructed games, cancellations, double bookings, notification needs etc.
34) Troubleshoot with outsourced IT companies to quickly fix and maintain online booking site,
user accounts, pro shop computers, and booking display screens.
35) Coordinate with the Food & Beverage Manager to ensure all aspects (food & beverage, set-up, etc. are correctly coordinated with games/events.
36) Complete and submit bi-weekly payroll.
37) Handle monthly billing for pro shop sales & payment of pro staff for their sales commission. 38) Maintain current sport agreement lists and ensuring members are billed correctly.
39) Coordinate with engineering, to ensure maintenance, repair and cleaning of courts.
40) Inspect and maintain cleanliness, organization, safety and repair throughout the court areas.
